Email Synchronizing with Exchange

We frequently get questions regarding how email synchronizes between the Agent Access Contact List, Reports Dashboard, and the Exchange (Office 365). It is a multi-step process that works through your Exchange account to connect the other two products. Here is how it happens:

To set up contact syncing between Agent Access and Exchange, once logged into Agent Access, click the down arrow under your name (upper right of screen) and click Profile. Scroll to Email Settings, verify the email address in the Primary field, then select Sync with My Exchange account. If you want the sync to include contact subfolders you have established in Exchange, also select Sync Subfolders. You are now mixing your Agent Access contact list and the Exchange contact list. Note: Syncing between Exchange and Agent Access will happen each night.

To set up contact syncing between products in the Reports Dashboard (Homefinder Pro, PIP, Market Tracker, CMA Pro, and Search Pro) and Exchange, when in Agent Access:

  1. Click Single Sign On (Right Margin – Search Resources)
  2. Click Reports Dashboard. At the next window…
  3. Click the down arrow at Tools & Settings
  4. Click Profile
  5. Scroll about two-thirds of the way down the window and make sure:
    1. The ‘Synchronize with’ field says ‘Exchange Server’
    2. ‘Exchange Server’ field says ‘Outlook.office365.com’
    3. The ‘Exchange Server Account’ field has your username in order to log into your Office 365 account
    4. The ‘Exchange Server Password’ has your password for your Office 365 account (Note: all you will see are dots. Only change this if you have not been successful in previous attempts to perform the sync)
    5. Click Save & Close

The first time you sync between Reports Dashboard and Exchange, duplicates can occur at Reports Dashboard only, so you will need to merge any contacts that previously existed both in the Reports Dashboard and Exchange. Future syncs will not create duplicates. Note: Actual synchronization is done by the agent manually. Go to the Reports Dashboard, click Contacts then click Sync.

The resulting synchronizations between Agent Access and Exchange, and Reports Dashboard and Exchange, will thereby allow contacts in either Agent Access or Reports Dashboard to also be in the other’s contact list.
